The Personal Property and Operations Manager is a role based on the island of Nantucket, MA.

You will be responsible for the oversight of Woodmeister’ s activities on the island including but not limited to managing client properties and projects while adhering to budgets, schedules, and Woodmeister quality standards. You will also be responsible for enhancing and maintaining client relationships through excellent concierge-level service and attention to each property’s maintenance needs and any supporting projects. In addition, this position is also responsible for providing support to all divisions of the company for their on-island activities.

 

Responsibilities for this role include:

 

Personalized Property Management:

  • Communicate regularly with clients to build a relationship and an understanding of their lifestyle management needs.
  • Respond to client requests in a timely manner for "concierge" services, such as vehicle maintenance, stocking kitchens for arrivals, and walk-in ready services.
  • Create and manage client service contracts, proposals, and change requests.
  • Coordinate and oversee the schedule for property walkthroughs with the Field Technician. Provide a report that evaluates the condition of the property and related systems along with recommendations for items to be repaired/replaced. Review appropriate reports with client and develop a timetable to address issues raised.
  • Maintain open items list for all properties and schedule associated work to be performed in a timely manner.
  • Prepare and secure client properties ahead of inclement weather and perform thorough walk-through following.
  • Maintain and schedule seasonal service on all mechanical (plumbing, HVAC, electrical, AV, irrigation, pool, etc.) systems.

Project Management:

  • Develop and manage all budgets and schedules to ensure timely maintenance and project completion.
  • Coordinate all trades and associated logistics to perform work for approved projects.
  • Forecast service contracts and assigned projects each month to determine adherence to budget and schedule expectations.
  • Hire and schedule approved subcontractors to perform the work and evaluate the quality of the completed work to ensure that it meets Woodmeister quality standards and local codes.
  • Maintain effective and timely communication with sub-contractors, field personnel, and other Woodmeister staff.
  • Responsible for the timely issuance of invoices and property/project reports.

Operations Management:

  • Responsible for maintaining all Woodmeister’s activities and the company’s reputation on Nantucket. This may include occasional attendance at community events and other events to support the company’s business goals.
  • Provide support to team members of Woodmeister’s Construction, Millwork, and Design divisions and their activities on-island to ensure continuity across the company.
  • Responsible for maintaining Woodmeister’s fleet of vehicles on island in collaboration with other island team members.
  • Maintain existing subcontractor relationships to ensure timely execution of work at client properties. Work closely with Field Operations to build new subcontractor relationships to continue to uphold Woodmeister quality standards.

Skills and Qualifications Needed:

  • At least 5 years of experience as a property manager with project management experience.
  • Knowledge of state and local regulations related to residential maintenance and construction activities, including carpentry, plumbing and electrical trades.
  • Working knowledge of mechanical, plumbing, and electrical systems (Preferred)
  • Experience working in a fast-paced, customer-centric environment is a MUST.
  • Ability to work outside of business hours to provide outstanding customer service and meet the needs of clients and internal stakeholders.
  • Skilled planner with the ability to organize, budget, schedule, and support multiple projects simultaneously.
  • Proven ability to negotiate, influence, resolve conflict, and work effectively with clients, tradespeople, and internal stakeholders.
  • Proficient knowledge of Microsoft Office Suite.
